Finance & Administration Executive
Key Responsibilities
Finance & Bookkeeping

Maintain accurate bookkeeping records using Tally or Zoho Books

Process vendor payments and maintain payment schedules
-
Record and track company expenses
-
Perform bank reconciliation and petty cash management
-
Coordinate monthly financial closing activities with external CA
-
Prepare GST-related data and supporting documents
-
Support payroll processing and salary disbursement
-
Maintain proper financial documentation and records
-
Track reimbursements, invoices, and payment follow-ups
-
Ensure accuracy and timeliness of financial data
Administration & Operations Support
-
Coordinate with vendors for utilities, internet, office supplies, and maintenance
-
Manage pantry supplies and office stock inventory
-
Handle courier coordination and visitor management
-
Maintain attendance records and muster rolls
-
Support basic compliance documentation and filing
-
Assist with employee travel bookings and logistics
-
Ensure smooth day-to-day office administration
Requirements
Educational Qualification
-
B.Com / M.Com / CA Inter or similar commerce background
Must-Have Skills
-
Working knowledge of Tally or Zoho Books
-
Bookkeeping and expense management experience
-
Vendor payment handling and bank reconciliation
-
Basic payroll and attendance management knowledge
-
Strong Excel / Google Sheets skills (formulas, pivots, dashboards)
-
Good written and spoken English and Malayalam
-
Strong attention to detail and documentation discipline
-
Ability to meet deadlines consistently
-
Willingness to learn and actively use AI tools such as ChatGPT, Claude, or Zoho AI tools
Good-to-Have Skills

GST filing exposure
-
Basic understanding of TDS
-
Payroll execution experience using Zoho Payroll or similar tools
-
Experience working in startups or small/mid-size companies
-
Familiarity with AI tools for drafting emails, summarising documents, and checking work

Additional Requirements

Must be based in Kochi or willing to relocate immediately
-
Full-time work from office only (no remote/hybrid option)

Immediate joiners preferred

Candidate must be available for a 2–4 week overlap with the current finance team for a smooth handover

No-pay notice period policy; the candidate should join within the agreed timelines
-
Strong performers may grow into Senior Finance Executive or Office Manager roles within 18–24 months
