Responsibilities:


This role will include, but not be limited to:

  • Provide correspondence service (replies, mail reports, etc.) and presentation support to ensure timely and efficient communication and action.
  • Provide a diary management service to assist in the effective use of managerial time
  • Establish and maintain/update records and filing system in order to support the information needs of the manager.
  • Arrange for the efficient operation of office equipment and replenish office supplies to ensure smooth functioning of the department.
  • Handle department documents in a confidential and systematic way
  • Follow up and make necessary administrative arrangements for travel / departments activities / events to ensure efficient and cost-effective execution.
  • Address and resolve day-to-day problems and queries raised by internal / external customers / stakeholders in order to achieve timely and satisfactory outcome.
  • Effectively communicate at all levels including with the customers and the staff
  • Ensure completion, production, and implementation of approved communication campaigns, materials and EDM’s Coordination with Digital Marketing to ensure regular content update and site maintenance of all digital sites sponsored by Group HR (HR microsite and pages, Souwti microsite, GEM microsite).
  • Identify areas for improvement on the site structure, navigability and look & feel based on stakeholder and employee feedback
  • Provide event management support for the GEM Annual Awards event. Main tasks include providing all of the information requirements, coordinate with Egypt, Tanfeeth and EI GEM coordinators.
  • Coordination with Procurement, IT and external suppliers for the GEM trophy, vouchers and certificates.
  • Manage the admin, processing and logistical requirements for the nomination and selection of winners of the Annual GEM Awards including the ordering, distribution and liquidation of the trophies and celebration amounts.
  • Monitor and manage the administrations of Milestone Awards. Tasks includes coordination with Finance, Procurement, coordinators and external suppliers for trophies, gold coins distributions.
  • Provide regular MIS on Bravo utilization per unit
  • Coordination with IT and Group Marketing for the maintenance of the Bravo portal
  • Work with Group Marketing, Tanfeeth and EI for the creation and uploading of the e-cards, launch and promotion materials including videos, posters and other marketing collaterals
  • Manage other minor HR initiatives and programs based on the annual approved HR priority initiatives.
  • Provide support for the implementation of major HR initiatives/programs based on the annual approved HR priority initiatives.
  • Review and approve all submitted staff Offers based on set guidelines
  • Manage Staff Exclusives mailbox – address and answer all incoming emails, coordinate with 3rd party vendors
  • Evaluate utilization of current offers and recommend improvements such as better negotiated terms and conditions
  • Managing the Souwti – Employee Engagement Surveys (the pulse and full blown survey – 2 survey runs each year)
  • Coordination with survey provider to ensure all pre-survey activities are completed such as testing of the survey emails, UAT of the survey portal.
  • Send out the user access details for the survey response rate and the survey report portal to the Unit Heads/Souwti Champions/HRBPs
  • Update of the Souwti Page
  • Invoice and budget tracking/monitoring for the whole team
  • Provide assistance to Culture and Diversity initiatives

Qualifications:

 

  • Bachelor’s degree in HR, or relevant field, CIPD, SHRM
